Privacy policy

What we collect when you and your callers use Callmate, why we collect it and the choices you have.

Last updated

This policy explains how Callmate handles personal information when you visit our website, create an account or use the service, and how we handle information about the people who call your business. We collect as little as we need to run Callmate well, and we never sell personal data.

Two kinds of data

Your account data. Information about you and your team, such as names, email addresses and billing details. We are the controller of this data.

Your callers' data. Recordings, transcripts, phone numbers and the details callers share on a call. We process this data on your behalf, under your instructions and our data processing agreement. You are the controller.

Information we collect

Account information. Your name, email address, company name and password, or the identity details sent by your SSO provider.

Call data. Phone numbers, call times, recordings, transcripts, summaries and the details Callmate collects during a call, such as names, addresses and appointment times.

Business knowledge. The scripts, price lists, policies and documents you give Callmate so it can answer calls.

Billing information. Handled by our payment provider. We store only the last four digits of your card and your billing address.

Usage data. How you use the app and dashboard, collected to improve the product. We do not use third-party advertising trackers.

How we use information

  • To answer and place calls for your business, and to deliver summaries and tasks.
  • To provide support, send service and security notices, and bill you.
  • To keep Callmate secure, prevent abuse and meet legal obligations.

We do not train on your calls

Your recordings and transcripts are never used to train models for other customers. We use them only to provide the service to you, and to improve your own assistant when you correct it.

Callmate plays a recording notice based on the caller's location and stops recording when a caller asks. You are responsible for choosing the notice and retention settings that fit your business and local law.

Retention

You choose how long recordings and transcripts are kept, from 30 days to seven years. Account data is kept while your account is open and deleted within 30 days of closing it, except where we must keep records for legal or tax reasons.

Sharing

We share data only with the subprocessors that help us run Callmate, such as carriers, speech providers and cloud hosting, under written agreements, and when required by law. Our current list of subprocessors is available on request.

Security

Calls are encrypted in transit, recordings and transcripts are encrypted at rest with per-account keys, and access is limited and logged. See our security page for details.

Your rights

You can access, correct, export or delete your account data at any time from settings, or by writing to privacy@callmate.test. Callmates who want to exercise their rights should contact the business they called, and we will help that business respond.

Changes

If we make material changes to this policy, we will tell account owners by email at least 30 days before they take effect.
